Where and How to Submit a Bid & Request for Proposal (RFP)
All formal bids and request for proposals (RFP’s) for the Village of Bolingbrook are always published in our local newspaper a minimum of two (2) weeks prior to the bid opening as a Public Notice.  Additionally, our Town Center building exhibits postings for each bid/rfp that may be pending.  The Public Notice postings are located in both the Executive and Finance Department in the display cases.All bids/rfp’s may be obtained by contacting the Village of Bolingbrook Purchasing Coordinator in the Finance Department at (630) 226-8445 or the Finance Department main number at (630) 226-8430.  All bids/rfp’s are made available at least two (2) weeks prior to the opening of the documents.
 
All bids must be received by the Purchasing Coordinator prior to the bid opening in order to be honored by the Village.  All bids will be opened (at the location stated in the bid/rfp document that were provided) beginning at 9:00 a.m. or as soon thereafter as is practical on the opening date specified in the bid document.  No bids will be accepted after the public opening begins.  THERE ARE NO EXCEPTIONS.
 
Each bidder shall submit a sealed bid utilizing the invitation to bid form enclosed with the bid document.  Number shall be stated both in written words and in figures.  Signatures must be longhand and executed by the principal duly authorized to make contracts.  The legal name of the bidder must be fully stated.  Enclose bid/proposal in an opaque sealed envelope being the legend “BID PROPOSAL,” PROJECT TITLE, AND NAME OF THE BIDDER.”  Oral, telegraphic, and/or telephone bid proposals or modifications will not be considered.  All blank spaces on forms must be filled in.

Mayor and Board of Trustees of the Village of Bolingbrook, Bolingbrook, IL c/o Purchasing Coordinator

Proposals shall be filed in the Finance Department, Village of Bolingbrook, 375 W. Briarcliff Road, Bolingbrook, IL 60440 no later than the specified bid/proposal opening date identified in the bid document.

Bids/Proposals will be publicly opened and read at the specified time as shown in the documents.

Mandatory Pre-Bid Meeting Information
This is for a meeting that any/all prospective vendors/bidders MUST attend prior to the solicitation of bids, to clarify any ambiguities, answer bidder questions, and ensure all bidders have a common basis of understanding regarding the supplies or services required.
 
The Village of Bolingbrook reserves the right not to accept bid packages from vendors/bidders not in attendance at the Bid Opening of bids specifying attendance at a "Mandatory Pre-Bid Meeting".
