Mailbox Damage Reporting
The Village of Bolingbrook understands that mailbox damage can be frustrating for residents. Public Works crews make every effort to safely perform snow and ice control operations while minimizing impacts to adjacent properties. However, due to the nature of snow removal operations, damage may occasionally occur.
This policy establishes guidelines for reporting and reviewing mailbox damage concerns related to Village snow removal operations.
Reporting Policy
During Active Snow Season
Residents who believe their mailbox has been damaged due to Village snow removal operations should report the damage as soon as possible after the incident occurs.
Prompt reporting allows Public Works staff the opportunity to:

Inspect the location.

Document existing conditions.

Determine whether Village equipment was involved.

Review whether the damage appears related to snow removal operations.
Residents should not repair or replace a damaged mailbox before Public Works has had an opportunity to inspect the location unless there is a safety concern.
End-of-Season Reporting Deadline
At the conclusion of the winter season, all mailbox damage claims must be submitted within:
30 calendar days following the final snow event where Public Works crews were actively plowing and/or conducting salt operations.
Requests submitted after this deadline may not be accepted unless reviewed by Public Works Administration due to documented extenuating circumstances.
Public Works Administration reserves the right to review unique circumstances on a case-by-case basis.
Eligible Mailbox Damage
Public Works may consider repair or replacement when:

The mailbox was directly struck by Village snow removal equipment.

The mailbox post was damaged due to direct contact with Village equipment.

The damage can reasonably be attributed to Village snow removal operations.
Non-Eligible Mailbox Damage
The Village will not be responsible for:

Normal wear and deterioration.

Rust, rot, age, or poor condition.
-
Improper installation.
-
Mailboxes that do not meet postal installation requirements.

Decorative or specialty mailbox structures beyond standard replacement.
-
Damage caused by private vehicles, contractors, vandalism, or other non-Village activities.
